Outsourcing in Denmark: Q&A on Competencies

In this article, we look at the competencies that matter most, both on the provider's side and within your own organisation, and how those requirements have shifted as digitalisation and AI have become part of everyday life in finance teams.

What is outsourcing?

Outsourcing means handing specific tasks or functions to an external provider instead of handling them in-house. At Azets, we support international businesses with bookkeeping, accounting, payroll and more in Denmark. The benefits are well known: it frees up time and internal resources, gives you access to specialised local knowledge, and, increasingly, to modern systems and automation that would otherwise be costly and time-consuming to build yourself from abroad.

What competencies should you expect from your outsourcing provider?

Running a finance function — even a small one — calls for a broad range of competencies. If you're outsourcing all or part of it in Denmark, make sure your provider genuinely covers everything your business needs, including the specialist knowledge you might only call on a couple of times a year. A good outsourcing partner should be able to answer specialist questions directly, without you having to bring in additional consultants or advisers. That might mean anything from HR and tax questions to the practicalities of setting up a Danish entity.

Your provider should also bring enough experience with financial solutions to take on a genuine advisory role as your business develops in Denmark. Today, that means more than traditional accounting and payroll expertise: it also means knowing modern, efficient systems and automation that can be matched to your needs over time, and being able to turn data into insight rather than simply recording it. A growing share of the industry now uses AI-supported processes for things like reconciliations, document handling and reporting, and a professional outsourcing partner should be just as comfortable advising on that as on the fundamentals.

Data security and compliance as a core competency

How can we be sure our data is in safe hands with our outsourcing partner?

When you outsource accounting and payroll, you're also handing over sensitive personal and salary data to an external party. That makes data security a competency in its own right, not just a technical box to tick. You should expect your provider to work systematically with data security, to have GDPR genuinely under control in practice, and to be able to explain clearly how your data is stored and processed in the systems they use. It's a completely legitimate question to ask before signing an agreement — and a good sign if your provider raises it with you first.

What should stay in-house, and what can you hand over?

Which skills should we keep inside our own organisation?

There's no one-size-fits-all answer here — it depends on your existing setup and the terms of your agreement. What matters most is having someone on your side, even without a local finance team on the ground in Denmark, who understands what needs to be delivered to the provider, how, and what to expect in return — and who can answer the provider's questions. That person needs to understand the value of ongoing governance and collaboration, so both sides keep meeting their obligations, and needs to keep a dialogue going as the engagement evolves.

How responsibilities are split in practice often comes down to the skills you have in-house when the agreement is signed, and those can change over time. As your organisation evolves — including how much of your own digital transformation you drive yourselves versus leave to your provider — the division of tasks will evolve with it.

Quality assurance: what to expect from your outsourcing partner

How can we be confident our outsourcing provider keeps up with changing Danish laws and requirements, and how will we be informed when something changes?

Before entering into a partnership, make sure your outsourcing provider has quality assurance built into how they work, and that they follow up whenever regulations change. A simple, effective way to stay aligned is to put regulatory updates on the agenda at every status meeting. A professional outsourcing partner should be an expert in Danish accounting and payroll and stay on top of current legislation as a matter of course — both established tax and accounting rules and newer requirements, such as sustainability reporting, which is now relevant to a growing number of mid-sized companies too. You should expect advice on a par with what you'd get from a lawyer or auditor, and as a client, you should be able to count on any changes arising from new laws and regulations being implemented and communicated exactly as agreed.
